This Privacy Notice (“Notice”) explains how EchoReach (“EchoReach,” “we,” “us,” or “our”) collects, uses, shares, and retains personal information when you visit our website (the “Site”) or interact with us by phone, SMS, email, or web forms, and describes your rights and choices. 1. Personal Information We Process

Categories we may collect:

  • Identifiers & contact details: name, business name, role, email address, phone number.

  • Call & message interaction data: brief call purpose (reason for calling), preferred callback window, and Lead Quality Report score/flags; voicemail content only if you leave a voicemail.

  • Telephony metadata: call/SMS time and duration, from/to numbers, delivery status, and non-content signaling data.
    We do not store call audio or transcripts by default.

  • Website/device data: IP address, browser type, pages viewed, timestamps, and similar analytics (see Cookie Policy).

  • Sources: directly from you; automatically from your device; and from our service providers (e.g., telephony delivery status from Twilio).

We do not intend to collect sensitive personal information (e.g., government IDs, financial account numbers, precise geolocation, health/biometric data) or information about children. Please do not submit such data.

2. How We Use Personal Information (Purposes & Legal Bases)

We use personal information to:

  • Provide and improve the Services (as described and defined on this website; terms not otherwise described herein are as described in the Terms of Service): answer missed/overflow calls as your virtual receptionist; capture name, phone, reason, callback window; generate the Lead Quality Report; deliver structured lead summaries by email/SMS/API.

  • Operate and secure the Site and our communications systems; prevent fraud/abuse and ensure service reliability.

  • Maintain business records, analytics, and service improvement.

  • Send service-related communications (e.g., confirmations, follow-ups, support).

  • Comply with laws, enforce our Terms, and protect rights and safety.

Legal bases (EEA/UK): consent (e.g., marketing SMS where applicable), performance of a contract or pre-contract steps (responding to your requests; providing the Services), legitimate interests (site operation, security, service improvement), and legal obligations.

3. How We Share Personal Information

We do not sell personal information and do not share it for cross-context behavioral advertising as defined by U.S. and/or state privacy laws.

We may disclose personal information to:

  • Service providers/Subprocessors who help us operate the Site and Services (hosting, telephony/voice, CRM/database, email, billing/processing, automation). They may access personal information only to perform services for us under contract.

  • Professional advisors (e.g., lawyers, auditors) under confidentiality.

  • Authorities when required by law or to protect rights, safety, or Service integrity.

  • Business transfers: during a merger, acquisition, financing, or sale of assets, as permitted by law.

4. Recording, Transcripts, and Call Content

By default, EchoReach delivers structured lead summaries and the Lead Quality Report without storing call audio or transcripts.

  • If a Customer enables recording or transcription, the Customer is responsible for providing legally required consent and notices (e.g., one-party/two-party consent states), and for any retention obligations.

  • If enabled, we can include a short consent notice at call start.

5. International Transfers

We operate in the United States. If you access the Site or Services from outside the U.S., your information may be processed in the U.S. and other countries with different data-protection laws. When required, we use appropriate safeguards (e.g., data-processing agreements and standard contractual clauses).

6. Retention

We keep personal information only as long as necessary for the purposes described above (for example, to respond to inquiries, maintain records, comply with legal obligations, or resolve disputes). When no longer needed, we delete or de-identify information in accordance with our retention practices and applicable law.

7. Security

We apply reasonable technical and organizational measures designed to protect personal information against unauthorized access, disclosure, alteration, or destruction. No system is 100% secure.

8. Your Choices & Rights

Communications controls

  • SMS/Text: reply STOP to opt out of non-essential texts; reply HELP for help.

  • Email: use the unsubscribe link where available or contact us.

Privacy rights (location-dependent): You may have the right to access, correct, delete, or receive a copy of your personal information, and to object to or restrict certain processing. U.S. state residents (e.g., CA, CO, CT, UT, VA) may have additional rights, including the right to appeal a decision. We will not discriminate against you for exercising your rights.

How to exercise: email contact.echoreachai@gmail.com with the subject “Privacy Request.” We may need to verify your identity. You may authorize an agent where permitted by law.
Appeals (U.S. states that require it): If we deny your request, reply to our decision email with “Privacy Appeal.”

9. Children

Our Site and Services are not directed to children under 13 (or under the age required by local law). We do not knowingly collect children’s personal information. If you believe we have done so inadvertently, contact us and we will delete it.

10. Third-Party Links and Sites

Our Site may link to third-party websites or services. Their privacy practices are governed by their own policies.

11. TCPA (Telephone Consumer Protection Act) Consent (U.S.)

By submitting your contact information on our Site or communicating with us, you consent to receive communications from EchoReach via phone, SMS, and email about your inquiry. Message/data rates may apply. Reply STOP to opt out at any time. Consent is not a condition of purchase.

12. EEA/UK Information

If you are in the EEA/UK, you may contact us to exercise your rights listed above. EchoReach has not appointed an EU/UK representative at this time; you may still contact us at contact.echoreachai@gmail.com. Legal bases are listed in Section 2. We will request consent before setting non-essential cookies (see Cookie Policy).

We may update this Notice from time to time. The “Last updated” date indicates the latest version. Material changes will be posted on this page.
